Refund Policy

At Glitch Galaxy, based in Bengaluru, Karnataka, we strive to provide high-quality development services. Because our work involves dedicated resource allocation, custom coding, and third-party costs, we have established the following Refund and Cancellation Policy to ensure transparency and fairness.

By accepting a project proposal or placing an order with Glitch Galaxy, you agree to the terms outlined below.

01. Order Acceptance and Binding Agreement

A project is considered "Accepted" and the contract becomes binding once:

  • The customer provides written approval of the project proposal/quote.
  • The initial deposit or full payment is received.
  • Work commences on the project.

02. Cancellation by the Customer

We understand that business needs can change. However, due to the nature of digital development:

  • No Cancellation Without Cause: Once an order is accepted, the customer cannot cancel the project unless there is a documented material failure or breach of service on the part of Glitch Galaxy.
  • Partial Refunds: If a customer requests a cancellation for reasons not related to Glitch Galaxy's performance, a 50% cancellation fee of the total project value will be applied. Only the remaining 50% of the amount paid will be refunded.
  • Reasoning: This fee covers administrative overhead, resource blocking, consultation time, and initial development work already performed.

03. Project Suspension ("On-Hold" Status)

  • Customer Request: If a customer asks to pause a project, development will be put on immediate hold.
  • Resumption: Work will only resume when the customer provides explicit written confirmation ("go-ahead").
  • Financial Impact: Putting a project on hold does not qualify the customer for a refund. Any payments made will be held as a credit toward the completion of that specific project.

04. Non-Refundable Costs

Certain external costs incurred by Glitch Galaxy on behalf of the customer are strictly non-refundable:

  • Domain Names: Once a domain is registered, the cost is non-refundable as per registrar policies.
  • Third-Party Licenses: Fees for premium themes, plugins, or software licenses purchased specifically for the project.
  • Server/Hosting Fees: Any setup fees paid to third-party providers like Supabase, Firebase, or Vercel.

05. Refunds Due to Glitch Galaxy Error

In the rare event that Glitch Galaxy is unable to fulfill the project requirements as per the agreed-upon Statement of Work (SOW) due to internal errors or technical failure:

  • A full or partial refund will be negotiated based on the volume of work delivered versus the original agreement.
  • Refunds will be processed after a thorough internal review of the project logs.

06. Refund Processing Timeline

  • Request Method: All refund requests must be sent in writing to glitchgalaxy.in@outlook.com.
  • Review Period: We will review the request and respond within 7-10 business days.
  • Payment Method: Approved refunds will be processed via the original payment method or via bank transfer to an account held in the name of the original customer. It may take an additional 5-7 business days for the amount to reflect in your account depending on your bank.

07. Governing Law and Jurisdiction

This policy is governed by the laws of India. Any disputes related to refunds or cancellations shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka.
